This guide explains how to add, use, and remove the Zoom integration for Calendar Booking Service. Calendar Booking Service is operated by Cross Platform Consulting (Pty) Ltd.
The integration uses Zoom OAuth to create scheduled Zoom meetings when a confirmed video booking is made. Calendar Booking Service does not access your Zoom calendar directly.
Prerequisites
- An active Calendar Booking Service account with the Pro plan (video meetings are a Pro feature).
- A Zoom account with permission to authorise third-party apps.
- At least one meeting type configured as a video meeting on your booking page.
Adding the app
Follow these steps to connect Zoom to Calendar Booking Service:
- From the Zoom Marketplace, click Visit Site to Add, or open the Zoom landing page https://calendarbookingservice.com/integrations/zoom
- Log in to Calendar Booking Service (or create a Pro account if you are new).
- You will land on Integrations with Zoom highlighted. Click Connect.
- Sign in to Zoom if prompted and approve the requested permissions.
- After authorisation, you are returned to Calendar Booking Service and the Zoom card should show your connected account.
Calendar Booking Service requests these Zoom scopes:
meeting:write:meeting: create scheduled Zoom meetings for confirmed video bookingsmeeting:delete:meeting: remove Zoom meetings when bookings are cancelleduser:read:user: display the connected Zoom account on your Integrations page
If you previously connected Zoom before a scope was added to the Zoom app, click Reconnect on the Integrations page so your token includes the new permission.
For troubleshooting connection issues, see the Troubleshooting section below.
Using the integration
1. Configure a video meeting type
- Open Meeting types in your dashboard.
- Create or edit a meeting type and set the location to Video.
- Choose Zoom as the video provider, or allow customers to choose when Zoom is available alongside Microsoft Teams (Outlook) or Google Meet (Google Calendar).
- Optionally connect Google Calendar or Microsoft Outlook on the Integrations page so confirmed bookings also appear on your calendar with the Zoom join link.
2. What happens when a booking is confirmed
- Calendar Booking Service creates a scheduled Zoom meeting in the connected Zoom account.
- The join link is stored on the booking and included in confirmation emails.
- If a calendar integration is connected, the booking is synced to Google Calendar or Outlook with the Zoom link in the event location and description.
- Meeting times are scheduled in your Calendar Booking Service workspace timezone.
3. Cancellations and rescheduling
- When you cancel a booking in Calendar Booking Service, the linked Zoom meeting is deleted from Zoom.
- If you delete the linked calendar event in Google Calendar or Outlook, Calendar Booking Service cancels the booking and removes the Zoom meeting on the next calendar sync.
- Rescheduled bookings update the booking time in Calendar Booking Service. Create a new test booking if you need to verify the full Zoom workflow after changing settings.
Removing the app
You can remove the integration in either of these ways.
Option 1: Disconnect in Calendar Booking Service
- Log in to Calendar Booking Service and open Integrations.
- On the Zoom card, click Disconnect.
- Confirm the disconnection.
After disconnection:
- Calendar Booking Service deletes the stored Zoom OAuth tokens for your workspace.
- New video bookings will no longer receive automatic Zoom links until you connect again.
- Existing Zoom meetings already created for past or upcoming bookings are not automatically deleted by disconnection alone. Cancel those bookings in Calendar Booking Service if you want their Zoom meetings removed.
Option 2: Remove from the Zoom App Marketplace
- Sign in to the Zoom App Marketplace. https://marketplace.zoom.us/apps/_evASUzYRfm67LLbCfm3Wg
- Click Manage, then Added Apps.
- Find Calendar Booking Service and click Remove.
- Confirm removal.
Removing the app in Zoom revokes Calendar Booking Service access to your Zoom account. We recommend also disconnecting Zoom inside Calendar Booking Service so your workspace status stays accurate.
Troubleshooting
Zoom connected but account email is missing
Reconnect Zoom from Integrations after confirming the Zoom app includes the user:read:user scope.
Zoom meetings are not removed after cancellation
Reconnect Zoom after adding the meeting:delete:meeting scope to your Zoom Marketplace app. Refreshing the token is not enough; you must complete the Reconnect OAuth flow.
Zoom meeting shows the wrong time
Check your workspace timezone in Calendar Booking Service settings. New meetings are created in that timezone.
No Zoom link on the booking
Confirm the meeting type uses Video, Zoom is connected, the booking is confirmed, and your plan includes video meetings.
FAQ
- Does Calendar Booking Service sync my entire Zoom calendar?
- No. Calendar Booking Service only creates and deletes Zoom meetings for confirmed video bookings. Calendar sync is separate and uses Google Calendar or Microsoft Outlook.
- Can customers choose Zoom, Teams, or Google Meet?
- Yes. Outlook meeting types can offer Teams and Zoom; Google Calendar meeting types can offer Meet and Zoom when those integrations are connected and the meeting type allows customer choice.
- What data does Calendar Booking Service store from Zoom?
- OAuth tokens, granted scopes, connected account metadata, and per-booking Zoom meeting IDs and join links needed to operate the integration.
